This privacy policy explains which personal data is processed when you visit the Women Career Festival website or contact us.

2. Hosting and technical access data

This website is hosted by IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany. When the website is accessed, IONOS processes technical access data to ensure the secure and stable operation of the service.

According to IONOS, this includes the referrer, requested page or file, browser type and version, operating system, device type, time of access and the IP address in anonymised form. According to IONOS, the data is anonymised at the point of collection and stored for eight weeks.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in providing this website securely, reliably and economically. Further information is available from IONOS on data processing in web hosting.

3. Contacting us

Contact by email

If you contact us by email, we process the information you provide in order to handle and respond to your message. Depending on the content of the enquiry, processing is carried out to take steps prior to entering into a contract or to perform a contract under Art. 6(1)(b) GDPR. General business enquiries are processed under Art. 6(1)(f) GDPR; our legitimate interest is handling business communications.

Exhibitor enquiry form and HubSpot

Employers can request information on the “Become an exhibitor” page. We process the following information:

• company, first name, last name and business email address,
• optionally, phone number, area of interest and message,
• technical submission data such as the page address and time of the enquiry.

The form sends the information directly to our HubSpot CRM only after submission. HubSpot is a service provided by HubSpot, Inc., Two Canal Park, Cambridge, MA 02141, USA, or by HubSpot Ireland Limited, the entity responsible for the European Economic Area. HubSpot processes the data on our behalf to handle the enquiry, provide a personal response and potentially initiate a contractual relationship.

The legal basis is Art. 6(1)(b) GDPR where your enquiry concerns an exhibitor presence, partnership or other contractual cooperation. Processing is additionally based on Art. 6(1)(f) GDPR; our legitimate interest lies in handling business enquiries in a structured and traceable manner.

Submitting the form does not constitute consent to newsletters or other promotional emails. The contact is explicitly created in HubSpot without marketing permission.

HubSpot may also process data in countries outside the European Economic Area. According to HubSpot, appropriate safeguards are used, in particular the EU Standard Contractual Clauses and, where applicable, the EU-U.S. Data Privacy Framework. 4. Booking meetings through Zeeg

On the “Become an exhibitor” page, we link to Rachid Fennan’s external booking page hosted by Zeeg, a service provided by Zeeg GmbH, Friedrichstraße 155, 10117 Berlin, Germany.

Zeeg is not embedded in this website. Merely visiting our website therefore does not transfer any data to Zeeg. Only when you click the booking link do you leave our website and access Zeeg. Zeeg’s privacy information also applies to visits to its page and the processing carried out there.

If you book a meeting, the selected time, your contact details and any other voluntary information are processed to organise the meeting and communicate with you. The legal basis is Art. 6(1)(b) GDPR where the booking is intended to initiate a contractual relationship, and Art. 6(1)(f) GDPR for the efficient organisation of business meetings.

According to Zeeg, its data is processed on servers in Germany and the Netherlands. Further information is available in Zeeg’s privacy information.

5. Local fonts and media files

The fonts, logos and images used on this website are loaded locally from our IONOS web space. In particular, no connection to Google Fonts is established when a page is accessed.

6. Cookies, analytics and marketing tracking

The website currently does not use analytics, marketing or social-media tracking services and does not set cookies requiring consent through its own code. According to IONOS, hosting statistics are based on access data that is anonymised at the point of collection.

7. Recipients and international transfers

Within our company, personal data is accessible only to those who need it for processing. The service providers named in this policy may also receive data as processors. Data is transferred to other third parties only where permitted or required by law or where you have given consent.

Transfers to countries outside the European Economic Area take place only where the legal requirements of Art. 44 et seq. GDPR are met, for example through an adequacy decision or EU Standard Contractual Clauses.

8. Retention period

We retain personal data only for as long as necessary for the relevant purpose. Data from business enquiries is stored while the enquiry is handled and during any potential initiation of a contractual relationship. It is then deleted unless statutory retention obligations or legitimate interests – such as establishing, exercising or defending legal claims – require otherwise. Statutory retention periods remain unaffected.

9. Your rights

Subject to the applicable legal requirements, you have in particular the right to:

• access under Art. 15 GDPR,
• rectification under Art. 16 GDPR,
• erasure under Art. 17 GDPR,
• restriction of processing under Art. 18 GDPR,
• data portability under Art. 20 GDPR,
• object to processing based on Art. 6(1)(f) GDPR under Art. 21 GDPR.

To exercise your rights, contact hello@womencareerfestival.de. If processing is based on your consent, you may withdraw that consent at any time with future effect.

You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for our company is, in particular, the Hessian Commissioner for Data Protection and Freedom of Information.

10. Encryption

This website is provided over an encrypted HTTPS connection. This protects data transmitted between your browser and the server against interception by third parties.

11. Updates to this privacy policy

We update this privacy policy when the website, the services used or legal requirements change. The version published on this page at the relevant time applies.

Note: No newsletter form for visitors is currently embedded. If Rapidmail or another newsletter provider is added in future, this privacy policy will be updated before activation.
